We priced and pressure-tested the six cold email and LinkedIn outreach tools small B2B sales teams actually shortlist in 2026, then ranked them on real cost per sending mailbox, deliverability controls, agency features, and how much of the stack you still have to buy elsewhere.
What changed this year
Two things worth flagging for anyone comparing this to a 2024 shortlist. First, the “unlimited mailboxes” model has become table stakes at the top of the market.
All plans include unlimited email accounts and unlimited warmup, and annual billing cuts the list price by roughly 17% across tiers
at Smartlead; Instantly matches the model across its Outreach tiers, and
all of Saleshandy’s plans allow you to connect an unlimited number of emails and Warm-up accounts to improve your email deliverability
. Per-seat cold-email sending, the way Lemlist and Apollo still bill, is now the exception rather than the rule at the sender layer.
Second, the market split into two very different pricing philosophies. Smartlead, Instantly, and Saleshandy price by volume with unlimited seats and mailboxes. Apollo and Lemlist price by seat, and their real cost jumps sharply as you add reps. That divide, more than any feature difference, is what should decide the shortlist for a small team hiring its third and fourth SDR this year.
The picks in detail
Smartlead, our top pick
Smartlead earned the top spot on a combination of honest published pricing, mailbox economics that scale, and native agency features.
Smartlead offers four plans: Base at $39/month, Pro at $94/month, Unlimited Smart at $174/month (most popular), and Unlimited Prime at $379/month. Annual billing saves 17% across all plans.
All Smartlead plans include unlimited email accounts at no extra cost. You can connect as many mailboxes as you need and scale your outbound without paying per account, which is a significant cost advantage over most outbound tools.
The white-label piece is what pushes it ahead of Instantly for agency and multi-client work. Whitelabeling is available as an add-on at $29/month per client workspace, with the option to add clients available from the Pro plan onwards, and Unlimited Prime including 3 clients/workspaces by default.
Two honest cons. The Base plan runs out fast: it covers 2,000 contacts and 6,000 email sends per month, which is roughly 200 sends a day. And on Base and Pro, verified prospect emails are a $59/month add-on; on Smart and Prime they are included up to the listed limit, which nudges most serious teams to Unlimited Smart faster than the tier chart suggests.
Instantly, the volume runner-up
Instantly is a near tie with Smartlead on sender quality and beats it on ecosystem breadth. On the Outreach product, Growth is $47/month monthly ($37.60 annual) with 5,000 emails and 1,000 contacts; Hypergrowth is $97/month monthly ($77.60 annual); and Light Speed is $358/month monthly ($286.30 annual). All plans include unlimited email accounts, unlimited warmup, and unlimited team seats, and pricing scales by email volume, not by user count.
Two caveats keep it out of the top spot. The first is honest transparency about product structure: the Instantly pricing model is modular. Outreach (the email sending product), Instantly Credits (the lead database), and CRM are three separate subscriptions, with additional paid modules for Website Visitors, Inbox Placement, DFY Services, and Pre-Warmed Accounts. Most real teams end up on two of those, sometimes three.
The second is a documentation inconsistency on the pricing page itself worth confirming before you buy: the Hypergrowth tier is listed as 125,000 emails/month on the monthly billing view and 100,000 emails/month on the annual billing view. Buyers should confirm the current figure directly with Instantly before committing.
Saleshandy, the best value on a starter budget
If your entire outbound program is one founder and a VA, this is the plan we’d start on. Saleshandy’s Email Outreach plans are Starter at $34/month (annual; $41 monthly), Pro at $76/month ($99 monthly), and Scale at $149/month ($189 monthly), with annual billing saving roughly 20%.
Starter includes 2,000 active prospects, 6,000 emails per month, unlimited email accounts, and AI-powered sequences. It’s genuinely one of the cheapest entry points in cold email, and the unlimited email accounts on even the lowest tier are unusual (most competitors cap mailboxes).
The meter to watch is different from the other sending tools. Active prospects, not total contacts, is the cap. Starter’s 2,000 active-prospect limit is the real ceiling: you can cycle contacts through, but only a fixed number can be in active sequences at once. Once you hit that, you’re on Pro at $76/month annual, still cheap by category standards, and where most working teams actually land.
HeyReach, the LinkedIn specialist
HeyReach isn’t a cold-email tool at all; it’s the only pure LinkedIn outreach platform we’d shortlist for a growing sales team. Pricing starts at $79/month per sender on the Growth plan, which includes a dedicated residential proxy per sender, unlimited campaigns, all LinkedIn actions, unified inbox, integrations, API & webhooks, workspaces & permissions, and MCP server access. The Agency plan is $999/month for 25 senders (or 50 senders at the same tier), and includes whitelabel, done-for-you onboarding, and a dedicated Slack channel, but requires you to bring your own proxies. The Unlimited plan is $2,999/month for unlimited senders, with 3,000 enrichment credits, multi-brand whitelabels as an add-on, done-for-you migration, and priority support.
The reason we’d choose it over Expandi or Dripify at scale is the unified inbox across all connected LinkedIn accounts, so agencies don’t have to log in and out of 10+ inboxes to work replies. It also ships a first-mover MCP endpoint for AI agents, which matters if you’re already routing outreach through Claude or ChatGPT.
Two honest cons. It’s LinkedIn-only (pair with Smartlead or Instantly for email), and LinkedIn-to-email enrichment is metered as one-time credits included with your plan (100 per sender on Growth, 1,000 on Agency, 3,000 on Unlimited), with top-ups sold separately as you scale.
Apollo.io, the database with a sequencer attached
Apollo earns a place on this list because sometimes the primary job isn’t sending, it’s finding who to send to. Apollo’s Starter plan is free forever after the trial, and paid tiers include email sequencing, call recording, A/B testing, and native integrations with Salesforce, HubSpot, Outreach, and Salesloft.
Apollo charges per seat, which changes the math sharply at team scale. If your challenge is really “we need to send more email from more mailboxes,” a sending platform will serve you better; if it’s really “who should we contact this quarter,” Apollo is the right tool.
Lemlist, the multichannel option
We rank Lemlist last for the small-B2B-team use case not because it’s a bad product (it isn’t) but because the pricing model penalizes exactly the audience this ranking is written for.
Lemlist’s two headline plans for new customers are Email Pro at $69 per user per month on monthly billing ($55 annual) and Multichannel Expert at $109 per user per month monthly ($87 annual).
A 5-seat Multichannel Expert team is roughly $545/month at monthly billing, and that’s before you add credits for enrichment, phone numbers, or intent signals. Email includes unlimited senders per user; Multichannel includes 5 senders per user.
The real reason to buy it, and the reason it’s on the list at all, is genuine multichannel. If your outreach must include LinkedIn steps and calls in the same sequence as email, Lemlist does that in one tool. If it doesn’t, you’re paying per seat for capability you won’t use.
Where this stack fits in the rest of your work
Cold outreach is the paid-channel half of getting customers. The other half is content and inbound, and both need to be in shape for outbound to work at all. If you’re rebuilding this stack, it’s worth also checking our current picks for AI email assistants to handle the replies that come back in, AI SEO tools so that anyone your outreach convinces to google you actually finds a site worth reading, and AI social media management tools for the LinkedIn and X posts that warm prospects before the first cold message ever lands.
One last honest note for the founder-led buyer. Everything on this list is do-it-yourself infrastructure. You still have to decide who to contact, write the copy, warm the domains, tune the sequences, and work the replies. That’s real ongoing work, and the tool bill is only a fraction of the total cost of running the program well. If you don’t want to run that stack yourself, buy a service rather than software; they are different categories of answer to the same underlying question.
